CRM and Commission Tools for RERA Freelance Brokers UAE

Manage leads, Form A/F, co-broke splits, developer payouts and VAT invoices in one app built for solo RERA-registered brokers in Dubai and the UAE.

The problem

We've lived your three biggest headaches.

01

Portal leads expire before you respond

A Bayut enquiry at 6am, a Property Finder lead at noon, a WhatsApp from a developer event the night before — they all sit in separate inboxes. By the time you log back in, the buyer has contacted three other brokers. Speed-to-lead is the single biggest differentiator for a solo operator, and no portal dashboard was built to be your CRM.

02

Two commission flows running at the same time

Off-plan deals pay developer commission — typically 2 to 8 percent — direct from the developer, sometimes in tranches tied to construction milestones. Secondary market deals pay buyer commission at DLD transfer. Running both simultaneously in a spreadsheet is where payments go missing and disputes start months later.

03

Co-broke splits tracked in WhatsApp, not in writing

You introduced the buyer; the listing broker closed. The split was agreed verbally at 40/60. RERA Form I should have been signed before commission was disbursed. Without a formal record and a documented proof-of-introduction trail, collecting your share after the fact becomes a favour, not a right.

04

VAT invoices assembled manually in Excel

Every commission is subject to 5% UAE VAT. Corporate buyers and developer accounts payable teams will not release payment on a bank transfer note. Creating FTA-compliant tax invoices one by one — with your TRN, the correct VAT amount, and the property reference — is an hour of admin for every deal closed.

05

RERA card renewal missed because there is no reminder

Your RERA broker card (Professional Practice Card) expires annually. Renewal requires CPD points, a valid Emirates ID, current residency visa, and a Trakheesi submission. There is no automated reminder unless you set a calendar event and remember to act on it. A lapsed card means you cannot legally practise — mid-deal.

06

Form A drawn up but not linked to the deal or commission record

You sign a Form A with the owner, upload it to a shared drive folder, and carry on. Six months later the mandate has expired. You kept showing the property. The owner signed with another broker. You have no tracked expiry alert, no deal link, and no recourse.

07

WhatsApp is your only CRM trail — and it is not searchable

Every lead conversation, viewing arrangement, and commission discussion happened on personal WhatsApp. An FTA audit or a payment dispute requires you to scroll through hundreds of messages to reconstruct the sequence of events. There is no searchable log, no timestamped record, and no audit trail.

08

Switching between Bayut and Property Finder dashboards duplicates work

Logging the same lead twice — once from a Bayut notification and once from a Property Finder email — wastes time and corrupts your pipeline count. Without a single inbound capture point, you cannot trust your own numbers.

The solo broker market in Dubai

A compliance-heavy, speed-driven market where independent RERA brokers win on follow-up and paperwork discipline

Dubai's property market has seen strong transaction activity in recent years. Solo RERA-registered brokers — operating under a licensed brokerage with their own broker card — drive a meaningful share of those deals. The broker who closes 20 deals a year versus the one who closes 6 is rarely the one with better market knowledge. It is the one who responded to the Property Finder lead before it went cold, tracked the developer payout to the AED, generated a compliant VAT invoice on the same day, and never forgot a Form A renewal. Generic CRMs were not designed for this. They have no concept of Trakheesi permits, co-brokerage Form I, off-plan developer payout schedules, or FTA-compliant commission invoicing. SYW was.

Business impact for solo brokers

What changes when your pipeline, co-brokes, and commissions are properly managed

Zero
Missed portal leads
Property Finder and Bayut leads captured automatically and a follow-up sequence fired within minutes — without you opening a dashboard. Speed-to-lead is the most measurable competitive advantage a solo broker has over a larger team.
100%
Commission tracked to the AED
Every deal logs expected commission, developer payout date, agency split, and co-broke share. Outstanding payouts are flagged before you discover them months after completion. Off-plan and secondary flows are tracked separately so you always know what you have earned and what is owed.
Instant
VAT invoice on deal close
Commission invoice generated automatically on deal completion — correct 5% VAT, TRN, and property reference. Corporate buyers and developers receive the right document on the day. No manual assembly, no delayed invoicing, no payment sitting in an approval queue.
Documented
Every co-broke split with Form I on file
Co-broke arrangements are recorded at the time of introduction — split percentage, proof of introduction timestamp, and Form I stored against the deal. Your entitlement is documented before the deal closes, not disputed after.
Never
RERA card expired mid-deal
Automated renewal reminders fire before your RERA broker card lapses so you have time to complete CPD and submit via Trakheesi. Your authorisation to practise remains current through every active transaction.

The real cost of agency-first and generic tools

PropSpace and HubSpot look capable. Until you see what is missing for a solo RERA broker.

The monthly subscription is not the problem. The problem is the AED value locked in missed co-broke payments, lapsed Form A mandates, uncollected developer payouts, and non-compliant invoices that no agency-first or generic CRM was designed to prevent.

Co-broke disputes cost more than any subscription

A co-broke split agreed on WhatsApp with no Form I and no introduction timestamp is not a legally documented arrangement. When the listing broker disputes your share six months later, you have no recorded proof of introduction, no dated commission agreement, and no recourse beyond a conversation you cannot produce. One disputed co-broke covers years of SYW subscription cost.

Undocumented co-broke = unenforceable split

PropSpace minimum billing does not fit solo operators

PropSpace is a capable UAE real-estate CRM — built primarily for agencies. Its per-user rate structure and agency-tier minimums mean a solo broker paying for features and capacity designed for a team. SYW charges a flat monthly rate that makes sense for one person running their own book of business, without the overhead of an agency-scale product.

Agency pricing for a solo operator wastes budget

No VAT invoice means no payment from corporates

Corporate buyers, institutional sellers, and developer accounts payable departments will not process commission payment without a proper FTA-compliant tax invoice. SmartLeads and Ruby CRM do not generate VAT invoices. Your commission sits in an approval queue until someone calls to ask for the right document. SYW generates it on deal close.

Invoice delays = 30-90 day cash-flow gaps

No reminder for RERA card renewal is a practice risk

None of the real-estate CRMs seen in SERPs — PropSpace, SmartLeads, Ruby CRM, or Zoho — include RERA broker card expiry reminders. If your card lapses mid-deal, you cannot legally practise. Listing your own properties or receiving commission on a lapsed card exposes you to DLD penalties. SYW includes the reminder because it is the kind of detail that costs brokers deals, not just money.

Lapsed card = practice risk mid-transaction

Zoho requires four products to do what SYW does natively

Zoho CRM for pipeline, Zoho Books for invoicing, Zoho Sign for document signatures, and custom Creator workflows for UAE-specific compliance fields. Each has separate pricing and limited native integration. Total subscription plus configuration cost exceeds a purpose-built solution — and none of them understand Form A, Form I, Trakheesi permits, or developer payout schedules.

Four products, one billing headache, zero UAE compliance
What's included

Pre-built for how freelance brokers actually works.

Lead and Deal Pipeline

Visual Kanban pipeline from first enquiry through qualification, viewing, offer, negotiation, MOU, and close. Source-tagged for Property Finder, Bayut, referral, or developer event. Every lead logged — none go cold because a follow-up was missed.

Commission Tracking

Log expected commission per deal — off-plan developer rate, secondary buyer rate, co-broke split percentage, and payout date. Track received versus outstanding across your full book. Overdue developer payouts flagged automatically.

VAT Commission Invoicing

Issue FTA-compliant VAT invoices for every commission — 5% VAT applied, your TRN, buyer or developer details, and property reference. Professional PDF sent via WhatsApp or email on deal close. No manual document assembly.

Listing Management

Active listings carry Trakheesi permit references, Form A/F status, owner contact, and a document store. Permit and mandate expiry alerts fire before you inadvertently advertise on a lapsed authorisation.

Document Management

Store Form A, Form F, Form I, MOU, title deed, owner passport, Emirates ID, and KYC documents per deal and listing. Accessible in seconds, not buried in email attachments or a shared drive folder nobody maintains.

Automated Follow-ups

Day-1, day-3, and day-7 follow-up sequences via WhatsApp and email. Assigned to a lead on entry, fired on schedule without manual intervention. No lead falls cold because you were showing a property.

Portal Integration and Lead Capture

Property Finder and Bayut Lead Import

Leads from Property Finder and Bayut land directly in your SYW pipeline — no copy-paste from portal dashboards, no duplicate logging. Source is tagged automatically so you know which portal is producing qualified buyers. Every lead captured at the moment of enquiry, before it goes cold.

Speed-to-Lead for Solo Operators

A solo broker competing against a five-person agency team wins on response time. The moment a portal lead arrives, SYW fires a WhatsApp auto-reply and creates a follow-up task for you. The buyer gets an immediate acknowledgement; you get a structured reminder — without switching apps.

Lead Source Tagging

Every lead is tagged by origin: Property Finder, Bayut, Dubizzle, WhatsApp, referral, developer event, or direct. Source attribution shows you which channels produce deals, not just enquiries — so you spend your portal advertising budget where it converts.

WhatsApp Reply Tracking

WhatsApp responses are logged against the lead record with timestamp. Your full conversation history is searchable in SYW — not scattered across a personal phone. An FTA audit, a co-broke dispute, or a developer query can be answered with a documented trail in minutes.

Off-Plan and Secondary Commission Flows

Developer Invoice and Off-Plan Payout Tracking

Off-plan commissions are paid by the developer — often in tranches tied to construction milestones or SPA completion. Log the expected payout schedule per developer deal, generate a VAT invoice to the developer on the correct date, and track each tranche as received. Stop discovering shortfalls at year end.

Secondary Market Commission Flow

Secondary market commission is paid by the buyer at DLD transfer — a different cash flow from the same pipeline. SYW separates off-plan and secondary commission records within the same dashboard so you track both flows without conflating developer payouts with buyer payments.

Form B and Form F Workflow

Log Form B (buyer's agency agreement) and Form F (MOU) against secondary market deals with execution date, expiry date, and document attachment. Track which deals have signed Forms in place before approaching the transfer stage.

Commission Revenue Dashboard

Total commission earned, pipeline value at each stage, deals closed this month versus last, and average deal value — calculated from your actual records, not an estimate. Separate views for off-plan versus secondary so you understand your own business mix.

Co-Broke and Form I Workflow

Co-Broke Split Calculator

Record the agreed co-brokerage split at the time of introduction — before the deal closes and before a dispute arises. SYW calculates your net share from the total commission and logs it against the deal record so both brokers have a documented reference.

Form I Documentation

RERA Form I governs co-brokerage in Dubai and should be signed before commission is disbursed. Log the Form I reference, execution date, and signed document against the co-broke deal in SYW. Your proof-of-introduction trail and commission entitlement are documented — not a WhatsApp agreement.

Referral Fee Records

Referral fees in Dubai range from a share of the co-broke commission to a negotiated flat amount. Record every referral arrangement, the referring broker's details, the agreed amount, and the payment date. Referral income is tracked the same way as direct commission — nothing falls off the ledger.

Proof-of-Introduction Trail

A dated, documented record of when you introduced the buyer to the property is your legal standing in a co-broke dispute. SYW timestamps every lead-to-listing match and every Form I execution so your introduction date is never in question.

VAT Invoicing and FTA Compliance

Auto-Generated VAT Commission Invoices

On deal close, SYW generates an FTA-compliant tax invoice: 5% VAT applied, your TRN, client or developer details, property reference, and deal number. Professional PDF delivered via WhatsApp or email. Corporate buyers and developer accounts payable accept it on first submission.

VAT 201 Return Ledger Feed

Every commission invoice feeds the accounting ledger. When your VAT return period arrives, your taxable supplies are already summarised — no end-of-quarter scramble reconciling figures from a separate invoicing app and a separate CRM. Confirm your registration obligation and thresholds with your tax adviser.

Quarterly Reconciliation View

Run a broker commission reconciliation report for any quarter: total commission invoiced, VAT collected, outstanding amounts, and deals by source. The report is formatted to support your adviser when preparing your VAT return — or to answer an FTA query without searching through three apps.

Income and Expense Tracking

Track brokerage income, portal advertising spend, marketing costs, and professional fees in a single chart of accounts. Run a quarterly P&L to understand your profitability. Consult a qualified UAE tax adviser regarding Corporate Tax obligations applicable to your specific legal structure.

RERA Card and Regulatory Credential Tracking

RERA Broker Card Renewal Reminders

Store your RERA broker card (Professional Practice Card) details in SYW — card number and expiry date. Automated reminders fire before renewal is due so you have time to complete CPD requirements, update your Emirates ID, and submit via Trakheesi. Your authorisation to practise never lapses mid-deal.

CPD Compliance Tracker

RERA card renewal requires DREI-certified CPD hours. Log completed CPD courses in SYW so your renewal checklist stays current. You know your compliance status at a glance — not the week before your card expires.

Trakheesi Submission Workflow

Record Trakheesi permit references per listing and per regulatory submission. Permit expiry alerts keep every advertised property compliant on Property Finder and Bayut. SYW does not submit to Trakheesi directly — it gives you the organised record that makes submission fast and error-free.

CRM and Pipeline

Lead Qualification and Scoring

Capture budget, timeline, preferred community, property type, and financing status at first contact. Pre-approved buyers ready to transact this month are flagged for same-day follow-up. Cold leads move to nurture sequences automatically — your attention stays on hot pipeline.

Full Contact Activity Log

Every call, WhatsApp, email, viewing, offer, and document shared is logged against the contact record with timestamp. Full interaction history visible at a glance — pick up any relationship after a gap of months with the complete context already there.

Owner and Buyer Database

Separate contact pools for property owners, buyers, tenants, and investors. Owners are linked to their listings; buyers to their active searches. Full relationship mapping across your book of business — searchable, not locked in a phone contacts list.

Quick Reply Templates

One-click templates for property shortlists, viewing confirmations, offer summaries, Form A explanations, co-broke introduction messages, and commission disclosure statements. Consistent, professional communication in seconds.

WhatsApp and Communication

WhatsApp Business API — Native

Send property shortlists, viewing confirmations, offer updates, co-broke proposals, Form A explanations, and commission invoices via WhatsApp from inside SYW. Every message logged against the contact record. Business communication stays searchable and auditable — not on a personal phone.

Automated Buyer and Owner Notifications

Viewing scheduled — buyer gets a WhatsApp confirmation. Offer submitted — owner gets an alert. Deal completed — commission invoice auto-sent. Every key milestone triggers the right communication automatically.

Enquiry Auto-Reply Bot

Keyword-triggered auto-replies handle initial portal and WhatsApp enquiries: property availability, viewing slots, pricing — around the clock. Qualified leads are passed to you with context already captured. The buyer receives a professional response at 6am without you waking up.

Automation and Workflows

Trigger-Based Automation

New lead received, viewing completed, offer submitted, Form A expiring, developer payout overdue, RERA card renewal due, lead inactive for 14 days — every event triggers an automatic action: WhatsApp message, email, task creation, or pipeline stage update.

Visual Workflow Builder

Build follow-up sequences, nurture campaigns, and deal-stage workflows visually — no coding required. Change your off-plan lead nurture sequence in 10 minutes without an IT request.

Task and Reminder Management

Attach tasks to any deal or contact — call the buyer Thursday, resend the shortlist, follow up on the co-broke Form I signature. Tasks appear on your daily dashboard. Nothing falls through the cracks because it lived in a sticky note.

How it works

Four steps. End to end.

01

Capture every lead the moment it arrives

Property Finder and Bayut leads land directly in your pipeline. WhatsApp enquiries and referrals are logged from your phone. Budget, timeline, community preference, and lead source are captured at first contact. A follow-up sequence fires automatically — your speed-to-lead is the same whether the enquiry arrived at 9am or 11pm.

02

Manage listings, forms, co-broke, and viewings

Active listings carry Trakheesi permit references, Form A status, and a document store. Co-broke arrangements are recorded with split percentages and Form I documentation at the time of introduction. Viewings are scheduled from the deal record. Buyer shortlists are generated and sent via WhatsApp. Every Form and document is attached before the deal moves to completion.

03

Close the deal, invoice commission, and track every payment

On deal completion, SYW generates an FTA-compliant VAT commission invoice automatically — 5% VAT, your TRN, property reference, and correct broker details. Developer payouts are logged with expected dates and tracked until received. Co-broke splits are settled against the documented Form I record. Your commission dashboard shows exactly what you have earned and what is still outstanding.

UAE regulatory landscape for solo brokers

RERA card, Trakheesi, Form I, VAT, and co-brokerage — what every independent Dubai broker must manage

RERA Broker Card — Annual Renewal

Every individual practising real-estate brokerage in Dubai must hold a valid RERA Professional Practice Card issued by the Dubai Land Department. The card must be renewed annually and requires current CPD hours, a valid Emirates ID, and an active residency visa. SYW stores your card details, expiry date, and triggers a renewal reminder so your authorisation to practise never lapses mid-deal. Confirm the exact renewal fees and CPD requirements directly with DREI and the DLD.

Form A — Mandatory Before Any Listing Is Advertised

Under RERA rules, no property may be legally listed or advertised without a signed Form A (seller's listing agreement) in place. SYW tracks Form A execution date and expiry date for every listing. An alert fires before the mandate lapses so you renew it before inadvertently advertising without valid authority.

RERA Form I — Co-Brokerage Agreement

Co-brokerage in Dubai is governed by RERA Form I, which should be signed before commission is disbursed in a co-broke transaction. Form I documents the introduction, the agreed split, and both brokers' RERA registration details. SYW stores the signed Form I against the deal record and timestamps the proof of introduction. Consult RERA's current published forms for the authoritative text.

Trakheesi Permit for Portal Listings

Every property advertisement in Dubai — on Property Finder, Bayut, Dubizzle, or any other portal — requires a Trakheesi permit number issued through the DLD REST system. SYW records the permit reference per listing and alerts you before expiry, keeping your portal listings compliant with DLD advertising rules.

5% VAT on Brokerage Commission

Brokerage commission in the UAE is subject to 5% VAT under UAE Federal Decree-Law No. 8 of 2017. If your cumulative taxable supplies exceed the mandatory VAT registration threshold, you must register with the FTA and issue tax invoices. SYW generates FTA-compliant commission invoices and feeds the accounting ledger for VAT 201 preparation. Confirm your specific registration obligation and applicable thresholds with a qualified UAE tax adviser and the FTA.

UAE Corporate Tax — Natural Persons

Freelance real-estate brokerage conducted through a sole proprietorship or as a natural person may have UAE Corporate Tax implications. Consult a qualified UAE tax adviser regarding the applicable rules for your legal structure. SYW tracks income and expenses to support adviser-led CT filing — it does not provide tax advice.

Why generic CRMs fail solo brokers

Six reasons a generic CRM is not enough for an independent UAE real-estate broker

Portal leads need same-minute capture

PropSpace and Ruby CRM serve agencies with admin staff who log leads during business hours. A solo broker competing on response time needs every Property Finder and Bayut lead logged automatically and a follow-up sequence fired before the buyer moves on. SYW does this without a reception desk.

Form A, Form I, and Trakheesi are non-negotiable

US and European CRMs have no concept of Form A listing authority, co-brokerage Form I, or Trakheesi permit numbers. You end up running the CRM alongside a spreadsheet for compliance — defeating the purpose of switching. SYW was built around these forms from the start.

Two commission flows need two separate tracks

Off-plan developer commissions and secondary market buyer commissions are structurally different: different payer, different timing, different documentation. A generic deal-value field does not separate them. SYW tracks both flows in the same dashboard without conflating them.

Co-broke splits need a paper trail, not a WhatsApp thread

A co-broke arrangement agreed verbally is an arrangement that costs you money when the listing broker disputes your share. SYW documents the split, timestamps the introduction, stores the Form I, and calculates your net commission — before the deal closes, not after the dispute starts.

5% VAT invoicing is legally required — and buyers insist on it

Corporate buyers and developer accounts payable teams will not process commission payment on a bank transfer message. SYW generates the correct FTA-compliant tax invoice automatically on deal close. Cash flow is the difference between a professional broker and one who chases payments for 90 days.

UAE buyers and owners live on WhatsApp

Property enquiries, viewing arrangements, offer discussions, and document sharing all happen on WhatsApp. A CRM that only sends email is invisible to a large part of your pipeline. SYW brings WhatsApp communication into the deal record — logged, searchable, and auditable.

FAQ

Common questions.

Can a solo broker in Dubai operate independently without joining an agency?

A RERA-registered broker in Dubai operates under a licensed brokerage entity — the brokerage holds the DLD trade licence, and the individual broker holds a Personal Practice Card (broker card) issued to them under that brokerage. The practical effect is that a solo freelance broker works independently, managing their own leads, listings, and commission, while the brokerage satisfies the DLD licensing requirement. Confirm your specific structure with the DLD and a UAE business adviser.

What is RERA Form I and when is it required?

RERA Form I is the official Dubai co-brokerage agreement that documents a co-broke arrangement between two RERA-registered brokers. It records the introduction, the agreed commission split, and the details of both parties. It should be signed before commission is disbursed in a co-broke transaction. SYW stores the signed Form I and timestamps the proof of introduction against the deal record. Consult the official RERA-published form for the authoritative requirements.

Do I need to charge VAT on my real estate commission in Dubai?

Yes — brokerage commission in the UAE is subject to 5% VAT. Whether you are required to register for VAT depends on your cumulative taxable supplies. Confirm your specific registration obligation and the applicable thresholds with the FTA and a qualified UAE tax adviser. If you are VAT-registered, SYW generates FTA-compliant commission invoices with 5% VAT applied and your TRN on every deal close.

How do I track developer payouts for off-plan commissions?

Off-plan commissions are paid by the developer rather than the buyer, and often on a payout schedule tied to SPA signing, construction milestones, or project completion. SYW lets you log the expected payout date and amount per developer deal, generate a VAT invoice to the developer on the correct date, and track each payment as received. Overdue payouts are flagged automatically — you stop discovering shortfalls at year end.

Does SYW integrate with Property Finder and Bayut?

SYW captures leads from Property Finder and Bayut directly into your pipeline — tagged by source, logged with enquiry details, and immediately added to an automated follow-up sequence. You do not need to log leads manually from portal notification emails or dashboards. Confirm the current integration scope with the SYW team as portal API capabilities are subject to change.

What is Trakheesi and does SYW manage it?

Trakheesi is the Dubai Land Department's official platform for real-estate licensing, permit issuance, and portal listing authorisation. Every property advertisement on portals such as Property Finder and Bayut requires a Trakheesi permit number. SYW records the permit reference per listing and alerts you before a permit expires so your portal listings stay compliant. SYW does not submit to Trakheesi directly — it gives you the organised record that makes the submission fast and audit-ready.

How is SYW different from PropSpace or Ruby CRM for a solo broker?

PropSpace is a well-established UAE real-estate CRM built primarily for agencies — its minimum billing and feature set are sized for teams, not solo operators. Ruby CRM takes a solo-friendly angle on portal publishing and WhatsApp but does not address RERA compliance, Form I co-brokerage, VAT invoicing, or developer payout tracking. SYW covers the full solo broker workflow: portal lead capture, Form A and Form I management, off-plan and secondary commission tracking, FTA-compliant VAT invoicing, and RERA card renewal reminders — in one flat-rate subscription.
